• Complete an enquiry form for a Field Day or Grow Day

• Sign up to our mailing list

• Make a payment through our website

• Contact us directly by email

The information we collect may include your name, role, organisation or school name, email address, phone number, and any additional details you choose to share with us about your group or visit.

Why we collect it and our legal basis

We collect and use your information for the following purposes:

• To respond to your enquiry — so we can get back to you about a Field Day or Grow Day. Our legal basis is legitimate interests.

• To send you updates and news about Future Oaks — only if you have asked us to. Our legal basis is consent.

• To process payments securely. Our legal basis is contract.

• To plan and deliver your visit safely — including any accessibility or additional needs you have shared with us. Our legal basis is legitimate interests and, where relevant, vital interests.

We do not use your information for any other purpose without asking you first.

 

How long we keep your information

• Enquiry information is kept for up to two years, or until your visit has taken place and there is no further reason to hold it.

• Mailing list information is kept until you unsubscribe or ask us to remove you.

• Payment records are kept for seven years in line with HMRC requirements.

We review what we hold regularly and delete information we no longer need.

Who we share your information with

We do not sell or share your personal information with third parties for marketing purposes.

We use the following services to help us operate, which may process your data on our behalf:

• Google — for forms and email

• Wix — for our website

• Stripe — for processing payments securely. Stripe is certified to PCI Service Provider Level 1, the most stringent level of payment security certification available.

Each of these services has its own privacy policy and operates under data processing agreements with us.
